Alterations Follow-Up
A bride who buys her gown nine months before the wedding is usually told to call back in the spring to book her alterations. Whether she remembers is up to her. Alterations Follow-Up keeps track for you: when she buys a gown, BridalOp puts her on a follow-up list, brings her up when it's time to book, and takes her off as soon as her alterations appointment is on the calendar.
It's off until you turn it on.
Turning it on
Go to Settings → Alterations Follow-Up.
| Setting | What it does |
|---|---|
| Remind us to book alterations | Turns the follow-up list on. |
| Weeks before the wedding | When each bride comes up. With 10 weeks, a bride marrying on 06/18/2027 comes up on 04/09/2027. |
| Which purchases need alterations | The product types that put a bride on the list. Gown is ticked to start. Veils and accessories are never offered. |
| Which appointments mean it's booked | Booking one of these for her takes her off the list. Your appointment types with "alteration" in the name are ticked to start, except pick-ups. |
| Add brides who already bought a gown | Shown the first time you turn it on. Adds everyone who has already bought one of those purchases in BridalOp and whose wedding is still ahead, so the brides from before today aren't missed. A bride whose gown sale isn't in BridalOp, because she bought before you started using it, can be added from her profile. Anyone whose alterations are already booked is added as booked. |
How brides get on the list
A bride is added when she buys one of the purchases you chose, however she buys it:
- a gown sold off the rack at the POS
- a gown on layaway, from the first payment
- a special order, whether rung up at the POS or started on the Special Orders page
Each bride is on the list once, even if she buys more than one gown. You can also add a bride yourself from her profile with Remind us to book alterations, for a gown she bought before you used BridalOp.
When she comes up
She comes up the set number of weeks before her wedding date. If her wedding moves, her follow-up moves with it.
To give one bride a different date, open her profile and click Change date on the Alterations Follow-Up card. Use her wedding date puts it back. A bride with no wedding date is listed under Needs a wedding date until you add one or set a date for her.
When you mark a special order Received, the status window shows when she'll come up, so you can change it then if she needs to come in sooner.
Where you see her
- Dashboard. A Time to schedule alterations card lists the brides who are due, oldest first, with Call and Book buttons. It only appears when somebody is due.
- Alterations to Schedule in the sidebar, once it's turned on. The full list, in tabs: Due now, Needs a wedding date, Coming up, Booked and Closed.
- Her profile and the special order. The Alterations Follow-Up card shows her date and status.
Book opens a new appointment with her already chosen.
When she's taken off the list
- Her alterations are booked. As soon as an appointment of one of the types you chose is on the calendar for her, she moves to Booked. It doesn't matter whether staff booked it or she booked it on your booking page.
- The appointment is canceled. If that appointment is canceled or marked a no-show, she goes back on the list.
- You close it. No alterations needed (on her profile) or Close (on the list) takes her off, with an optional reason. Open again puts her back.
Emailing or texting her automatically
The list is for your team. To also send the bride a message when it's time, build an automation on the Time to schedule alterations trigger under Settings → Automations. It fires once, on the morning she comes up. Add the Booking page merge tag so she can book it herself. See Automations.
