Tasks

A to-do list for your team. Write a task, give it to one or more people, link it to a client if it's about one, and set a due date. Everyone it's for gets a notice in BridalOp and an email, and the morning it's due they're reminded. When it's done, the people you choose hear about it.

Tasks is on for every shop. To turn it off, go to Settings → Modules.

Adding a task

Click Tasks in the sidebar, then New task.

FieldWhat it's for
TaskWhat needs doing. "Call Taylor about her veil."
ForWho's doing it. Pick as many people as you like, or nobody, so anyone can pick it up. You're picked to start.
DueOptional. Add a time too if it has to happen by a certain hour.
ClientOptional. Search for a customer. The task also shows on her profile.
NotesAnything else they need to know.
ChecklistOptional. The steps, if there's more than one.
FilesOptional. Photos, PDFs and documents up to 25 MB each.

You can also add a task from a client's profile: the Tasks card has + Add task, already linked to her.

Your task list

The list opens on My tasks, the ones given to you. Across the top:

  • My tasks, Made by me, and Everyone (owners and managers) or All I can see (everyone else).
  • Open or Done.
  • All open, Past due, Due today, Next 7 days and No due date, with how many are in each.
  • In Everyone, a menu to show one person's tasks.
  • A search across task titles, notes and client names.

Tick the box next to a task to mark it done. Untick it to open it again.

A task is past due once its day is over, or once its time has passed if it has one. The number next to Tasks in the sidebar is how many of yours are due today or past due.

A task's page

Click a task to open it. From there you can:

  • Mark done or Open it again.
  • Edit what it says, who it's for, the due date and the client.
  • Tick off the Checklist, or add and remove items. Each item shows who ticked it.
  • Attach files, download them, or remove them.
  • Delete it, with its checklist and files. Only the person who made it, an owner or a manager can.

The side panel shows when it's due, who it's for, the client, and who made it and when. A task made by an automation names the automation.

Who sees which tasks

  • Owners and managers see every task.
  • Everyone else sees the tasks given to them, the ones they made, and the ones nobody has been given yet.

To let another role see every task, turn on Tasks → view all for it under Settings → Roles & Permissions.

Anyone who can see a task can work on it: tick it off, edit it, use the checklist and add files.

Notices and emails

WhenWho hearsHow
A task is given to youYou, unless you put yourself on itA notice and an email
It's due todayEveryone it's forA notice and an email at 8 AM your time, one email listing everything due that day. A task made that same day isn't announced again.

Changing a task's due date sends its morning reminder again on the new date.

To change what the three emails say, go to Settings → Notification Templates → Tasks. See Email & SMS Templates.

Anyone who doesn't want the emails can turn off Email me about tasks on their profile. The notices in BridalOp still come.

Settings

Go to Settings → Tasks.

SettingWhat it does
When a task is marked done, tellThe person who made the task, and everyone in the roles you tick. The person who finished it is never told about their own task. Starts with only the person who made it.
Who can give tasks to other peopleThe roles that can give a task to anyone on the team. Everyone else can only put tasks on their own list. They can still tick off and edit tasks they've been given, but can't change who else is on them. Owners always can. Starts with every role.

Creating tasks automatically

An automation can make a task with the Create a task step: for example, "two days after her appointment, have her consultant call her." You choose the task, who it's for (including Her assigned consultant, worked out when it runs), a due date relative to the trigger, notes and a checklist, one item per line. Merge tags like {{customer.first_name}} work in the task. It's linked to the trigger's customer unless you change it. See Automations.
