Inventory Transfers
Move inventory from your store to another BridalOp boutique: your own second store, or another boutique you're selling stock to. The other store reviews everything before it arrives, so nothing lands on top of their own barcodes, products or designers. When they accept, the items become theirs, and they show as transferred in your inventory.
No money changes hands in BridalOp. Invoice for the items however you usually do. A transfer can carry a value for each item and a reference such as an invoice number.
Owners and managers can send and receive transfers. To let another role do it, turn on Inventory → transfer for it under Settings → Roles & Permissions.
Sending inventory
- Go to Inventory, tick the items you're sending, and click Send to another boutique.
- Choose where they're going:
- Your other stores, if you also work at another BridalOp store (you can switch into it, or you have a login there).
- Another boutique, by its receiving code or its owner's email. Click Find, then check the boutique's name before you send.
- Optionally, add a value for each item, a reference (an invoice or PO number) and a note.
- Click Send.
Until the other store answers, the items show as In transfer: they can't be sold or reserved, and they leave your online store. You can change their notes, but nothing else. To take them back, open the transfer and click Cancel transfer.
These can't be sent: items that are reserved or sold, on layaway or in an order, on consignment (they aren't yours to send), and rental pieces.
What the other store sees
They see each item's photos, designer, style, size and color, condition, barcode and serial number, plus your value, reference and note.
They never see what the item cost you, unless you also work at their store. Between your own stores, your cost goes with the items. To another boutique, only the value you type is shared, and it becomes their cost.
Receiving inventory
When a boutique sends you inventory, owners and managers get a notice and an email. A banner appears on the Inventory pages and a number next to Inventory in the sidebar. Click Review to open the transfer.
For each item you'll see what was sent, and what it will become in your store:
| What happens | |
|---|---|
| In your store, this is | One of your products, or a new one. If you have a product from the same designer with the same style number, it's chosen for you. If you only have one with the same name or style, you choose: it might not be the same dress. Find another of your products searches all of yours. |
| Size and color | Added to your product if you don't have that size or color yet. |
| Condition | Starts as the sender had it. Change it if, say, a sample arrived as new. |
| Barcode | Kept if it's free in your store. If one of your items already uses it, the item gets your next barcode number, so a scan never finds two items. Print new labels for these. |
| Designer and category (new products) | Matched to yours by name, or added. |
| Your price (new products) | Starts at the sender's price. A product you already have keeps your price. |
A summary at the top shows how many items are matched to your products, how many are new, and how many barcodes change. Items that still need an answer are marked, and Accept stays off until each one has one.
Choose the location they go to, then click Accept. To keep only some of them, untick the others first. The unticked items go back to the sender as available.
Decline all sends everything back, with an optional reason the sender will see.
After you accept, Print labels prints labels for everything that arrived. New products start hidden from your lookbook and online store until you turn them on.
The Transfers page
Go to Inventory → Transfers, or click the banner.
- Incoming: inventory sent to you, waiting or from the last 30 days.
- Sent: inventory you've sent.
- History: every transfer, with a search by boutique, item, reference or note.
Each transfer has a Packing list to print with the shipment or attach to your invoice, and an Activity log of when it was sent, opened and answered, and by whom.
Your receiving code is at the top of the page. Give it to a boutique that's sending you inventory. An owner can make a new one; the old code stops working.
When nobody answers
A transfer that isn't answered in 30 days expires. The items go back to available in the sender's inventory, and the sender is told.
Notices and emails
| When | Who hears |
|---|---|
| Inventory is sent to you | Your owners and managers |
| Your transfer is accepted, partly accepted, declined or expires | Whoever sent it, and your owners and managers |
| A transfer you were sent is canceled | Your owners and managers |
To change what the emails say, go to Settings → Notification Templates → Inventory Transfers.
In your inventory and reports
- A transferred item stays in the sender's inventory as Transferred, with its history, and links to the transfer from its product page. It doesn't count as a sale, in your stock or in the inventory report.
- A received item is ordinary stock in the receiving store, and its product page says where it came from.
- To send something back, start a new transfer.
