Payment Links
Send an order to a bride so she can sign her contract and pay from anywhere: from home, from another state, or on her phone between meetings. She gets one email (and a text, if you send SMS) with one link. She reviews her order, signs, and pays by card. The payment goes on the order itself, exactly like a payment at the counter.
That last part is what makes a payment link different from an invoice. Paying an invoice doesn't touch the order, so a special order paid by invoice is never recorded for anyone to place with the designer. A payment link pays the order: the special order is recorded, inventory is held or sold, commissions are locked and her receipt goes out.
You need Square or Stripe connected under Settings → Payments to send payment links.
Sending a payment link
You can send one from the POS or from an order's page.
From the POS: build the sale as usual, choose the customer, and click Send payment link under the Pay button.
From an order: open it under Orders and click Send payment link under Actions. Use this to ask for the rest of a balance weeks later.
In the dialog:
| Send to | Her email and cell, filled in from her customer record. Change either if needed. You need at least one. The text only goes out if you have SMS credits. |
| Amount | Deposit (filled in from your special-order deposit percent, and you can change it), Full balance, or Let her choose, at least a minimum you set. |
| Contract | Pick a contract template for her to sign before she can pay. If the order already has an unsigned contract, she signs that one instead. If it's already signed, there's nothing more to sign. |
| Message | An optional note shown at the top of her email and the page. |
| Link works for | 3, 7, 14 or 30 days. 7 days by default. |
Click Send link. You'll also get the link itself, with Copy link, so you can text or message it from your own phone.
Special orders
Enter her size and color (Add Size & Measurements in the POS) before sending. If you haven't, the dialog takes you there first: without them, the special order can't be recorded when she pays.
What she sees
The link opens a page with your logo and colors:
- Her order: each item, named by the size and color she's ordering, with the total, anything already paid, and the balance.
- Sign your contract (if there is one): she types or draws her signature. She can't pay until she signs.
- Pay: the amount due and a card form. If she has a card saved with you, she can use it.
After she pays, she sees a thank-you with what she paid, any balance left, and a link to her receipt. Her receipt is also emailed to her.
Following along
While a link is out, the POS and the order show its status: Not opened yet, Opened, Signed — waiting for payment, then Paid. It updates by itself. If you're watching the POS when she pays, it opens the order for you.
From the status you can Copy link, Resend, or Cancel link.
You also get a notice when she opens the link, when she signs, and when she pays.
When she pays
The payment is added to the order as Square Online or Stripe Online, with the note "Paid online with a payment link", and everything happens just as if you'd taken it at the counter:
- Special orders are recorded on the first payment, ready to order.
- Inventory is held, or marked sold when the order is paid in full.
- Commissions are locked when the order is paid in full.
- Her receipt is emailed when the order is paid in full.
A link is done once she pays. If a balance is left after a deposit, send a new link for the rest when it's due.
If the order changes
If you change the order after sending the link (add or remove an item, change a price or discount, change her size or color), the link is canceled so she can't pay for something different from what she signed. The status shows Canceled because the order changed. Send a new link when you're ready.
If she already signed a contract for the old order, the signed contract is kept as a record. Send the new link with a new contract so she can sign the changes.
The link also closes by itself if the order is paid off in the store, voided or refunded. Sending a new link replaces the old one.
Good to know
- Payment links aren't available for layaways. Layaway payments are taken on the layaway plan.
- If you use the Prom Module, the prom check runs when you send the link and again when she pays. If someone else bought the dress for her school in between, the payment is refused and you get a notice.
- Turn the payment link email or text off under Settings → General → Notifications (Payment link sent to customer). Edit the wording under Settings → Notification Templates → Orders → Payment Link Sent.
