Floor & Waitlist
For a floor that takes walk-ins as well as bookings: who is waiting, who is in which room, and which room just freed up, on one board.
The Floor & Waitlist module is switched off by default. Turn it on under Settings → Modules. A two-room boutique that books every appointment doesn't need it; a store with twenty fitting rooms and a line out the door on a Saturday does. It is not tied to the Prom module: a bridal shop with walk-ins can use it on its own, and a prom store can run prom without it.
How it works
A visit is an appointment. Four moments carry it across the floor:
| Moment | What it means | What the calendar shows |
|---|---|---|
| Checked in | She's at the desk and waiting for a room | Arrived |
| Seated | She's in a fitting room | In progress |
| Ready to check out | She's found it; the room turns green | In progress |
| Done | The visit is over, with or without a sale. The room is free | Completed |
A booked appointment goes through the same four moments once she arrives. A walk-in is an appointment made at the desk with your walk-in appointment type and a start time of now, so both kinds of visit work one queue and show up everywhere appointments do.
Checking someone in
Check in on the Floor page, or on the Appointments page. The form is built for a desk with a line behind it:
- Phone or name finds her if she's been in before. The same phone number is the same girl, however her name was typed.
- A new customer needs a first name; last name and phone are optional. With the Prom module on, the form asks for her school.
- Party size, and Text her when a room is ready, which is on when she has a phone.
- A note for the stylist.
Booked appointments arriving show under Expected today on the board. Arrived checks her in without creating anything.
The board
Floor in the main menu. One tile per fitting room, plus the queue.
| Tile | Meaning |
|---|---|
| Open (white) | Nobody in it. Tap it to seat whoever is next. |
| In room (rose) | Her name, party size, how long she's been in, and her stylist. |
| Ready (green) | She's found it and is on her way to the register. |
Tap any tile to assign or change the stylist, move her to another open room, mark her ready, start a sale, mark the visit done, or send her back to the queue.
Waiting lists everyone checked in and not yet seated, in order, with how long they've waited, their school, and a phone icon when she asked to be texted. A wait longer than your threshold (45 minutes unless you change it) turns amber. Seat picks a room and a stylist.
Expected today lists bookings that haven't arrived, by time.
A stylist strip across the top shows how many rooms each stylist has right now. A stylist can be on as many rooms as the manager likes; nothing enforces a limit.
The board refreshes itself every ten seconds. Two tablets can work it at once: if both try to seat the same girl, the second one is told the room is in use and the board redraws.
From the room to the register
Start sale on a tile opens the POS with her already on the sale, and the order remembers the visit. When that sale completes, the visit is marked done and the room frees itself, so the register never has to ask which room she was in. See Start sale.
Visits nobody marked done are closed overnight, so Monday's board doesn't open still full of Saturday.
Texts
Two texts, only ever sent to a girl who asked to be texted when she checked in. Both use SMS credits like any other text and can be reworded under Settings → Email & SMS Templates.
| Text | When |
|---|---|
| Checked in | At check-in, when there are at least two people ahead of her: "You're checked in at {store}. 3 ahead of you. We'll text you when your room is ready." |
| Room ready | The moment she's seated: "Hi {first name}, your room at {store} is ready. Come to the front desk." |
Each can be switched off under Settings → General → Notifications → Floor & Waitlist.
Screens
A screen is a page for a tablet or TV. Nobody signs in; the link is the key. Set them up under Floor Settings.
Lobby screen — the queue as first name and last initial, each with their place in line and an estimated wait, and how many rooms are open. The estimate appears once five visits have been seated that day, as a range ("about 15–25 min"), and is never a promise.
Room screen — for the tablet outside one fitting room: the room's name, who is in it (first name and last initial), her stylist, and whether the room is open, in use, or ready to check out.
Screens show first name and last initial only, with no option to show more. No phone, no school, no party size. Most of a prom store's customers are minors, and a lost tablet should give away nothing.
Who can see what
The Floor page and check-in need the Appointments permission, the same as the calendar. Floor Settings needs General settings.
